Introduction

Finseta, an International Payments and FX company, was looking to improve its client and prospect management processes by integrating its custom-built back office system with HubSpot. 

Their goal? Close their data gaps, streamline operations, and enhance productivity across the board. 

Here’s how we did it.

First things first: Finseta was clear that any integration between their custom-built back office system (which housed sensitive financial information about their clients) and HubSpot had to be utterly seamless. 

Coupled with this, their teams were extremely keen to proactively reach out to their prospects and clients, and didn’t want to let any accounts go cold during a migration phase. 

Solution

So that Finseta could keep delivering amazing customer service and to ensure data security, AutomateNow had to make sure that their whole custom-built system was carefully mapped and any data gaps were taken into consideration.

We did this by:

  • Determining which aspects of HubSpot would be best aligned to Finseta’s goals, through scoping workshops and data analysis.
  • Identifying and bridging data gaps between the systems.
  • Importing selected segments so the customer success and sales teams could continue their essential work.
  • Building a process to handle future data imports and maintaining data integrity.
  • Creating bespoke dashboards and reports that gathered essential data in one place for the Finseta team. 

 

Deliverables

Led by our amazing manager Anna Drogon, we took the following steps to make sure Finseta was set up for HubSpot integration and adoption success:

  • Data Mapping and Importing:

  • We mapped data between the back office system and HubSpot to identify and fill any gaps.
  • We also imported small portions of data, related to select client segments into HubSpot to avoid disrupting the team’s work. 
  • Dashboards and Reports:

  • Working closely with the Finseta team, we created bespoke dashboards and reports to provide actionable insights and track key performance indicators.
  • We also developed a template for future data imports, making consistency, accurate data handling simple and straightforward
  • Onboarding process

        • Anna and her team crafted a super-streamlined, intuitive onboarding process for new clients, creating happy customers and improving in-house efficiencies.

Partner Program Process:

      • We developed specific revenue-driving processes using landing pages, forms, and reports to help monitor the productivity and profitability of each Finseta partner.

Training and Sequences:

    • We meet with Finseta for regular, comprehensive training sessions, so their team can use HubSpot with ease. 
    • Anna’s team also now creates content-driven sequences to support sales: reconnecting with accounts that dropped off before completing registration, to enhance engagement and boost conversion rates.

In a nutshell, by successfully integrating HubSpot with their existing systems, Finseta now has:

  • A unified, single-source view of client and prospect information.
  • Enhanced their ability to track and manage customer relationships.
